Data Warehouse Setup and Installation

There are 3 parts to setting up the Data Warehouse database on a PC. First you must install the Oracle Listener which allows connection to the Oracle Database. Currently this executable is sent as an email attachment. Instructions for the next two steps, establishing the System DSN (ODBC driver) and the Microsoft Access database import are found on the Data Warehouse home page. Book mark this web page. It contains much needed information about the data warehouse and is also your link to changing your Oracle password. You must change the originally issues password within 48 hours of the setup. It is also very important for each Data Warehouse user to join the DWH-L listserv. We use this list to keep users informed of any changes, problems, updates, etc. regarding the Data Warehouse. This is also done through the Data Warehouse web page under the Security and Access -> Subscribe/Unsubscribe to the Data Warehouse Listserv.

1. Net8.exe Oracle Listener

Check with your PC Tech. or Network Administrator to see if you need an Admin logon prior to installing software. The Net8 listener is generic and will work with any operating system. This installation file should be saved directly in the C:\temp folder. Open Explorer; open the C:\temp folder, and double click on the Net8.exe file to launch the installation. Accept all the defaults during the installation. Upon completion, re-boot the PC.

2. System DSN (ODBC Drivers)

Go to the Data Warehouse home page. On the left side of the page, click on Downloads and Setup Information. Find the bulleted section called "How To" documentation for Establishing a System Data Source (System DSN) using Microsoft ODBC for Oracle. Click on the instructions for your operating system. You may decide to print these instructions.

3. Data Warehouse Access Database Download

Create a folder on your hard drive called Data Warehouse as the target folder for the download. The placement of this folder is up to you. Within the on Downloads and Setup Information, find the bulleted section called Download Microsoft Access Databases. Click on the database that you are authorized to use. You will be prompted to "run or save". Save the database in the Data Warehouse folder that you created above. The download will be automatic.

The Data Warehouse Access database contains links to the Oracle Data Warehouse database. Therefore you will not be downloading tremendous amounts of data to your PC, only links to the data. The Student Information data is refreshed and updated nightly. The Student Financial Aid data is refreshed and updated weekly.

If you are using Office 2000, upon opening the database you will be prompted to convert and re-name the database. You should do so. For continuity use the current name of the database followed by 2000. (Ex: Student Information 2000.mdb).

You will be prompted for your Oracle User Name and Password only once during a session. This will occur when you attempt to access the data.

Go to the Forms section of the database. There is a form called "frmList of Values Tab" that contains values for the key fields of all the tables contained in the database.
